With the SuperOffice integration, you can import Contact selections to Lyyti events, as well as export participant data from Lyyti to SuperOffice. The integration creates new Contacts/Companies from Lyyti event participants, or connects participants to existing Contacts in SuperOffice if the email addresses match on both ends. The integration also creates a new Projects per each Lyyti event, if exporting to SuperOffice is selected in the event. When participants' status change in Lyyti, those will be updated in SuperOffice for corresponding Project members.
Connecting the integration
In order to connect the integration, you need to have Admin user rights in Lyyti as well as in SuperOffice. The integration is always connected to a Lyyti company, and the settings apply to the whole company too. Here are the required steps:
- Find SuperOffice Settings under your company settings (click on your company name on the top right corner)
- On the SuperOffice Settings page, click on "Activate integration".
- Once redirected to SuperOffice's login page, log in with your SuperOffice username and password
- After returning back to Lyyti, you'll see that the integration is now active
Configuring the integration
After successfully connecting the integration, you can configure integration settings and fields.
Settings tab: set defaults
- Default Project Type: select a default project type for your new projects that are created from Lyyti events
- Default Project Status: select a default status for projects that are created from Lyyti events
-
Create a new company when creating a new contact: decide whether or not you want the integration to also create a new Company in SuperOffice when a new Contact is created. If this is left unticked, new Contacts will be created without a company and added to the Selection defined on the next tab "SuperOffice Selections".
TICKED: if you don't yet have a Company in SuperOffice, the integration will create one for new Contacts
UNTICKED: New Contacts are created without Company, and they are sent to the "Default Selection" defined in step 3
Selections tab: select a default selection for orphan participants created in SuperOffice from Lyyti event participants (Contacts that are not connected to any Company). The integration creates one default selection for this purpose in SuperOffice automatically.
- Current: the selection currently used for Orphan participants (the integration creates one by default)
- Search for a selection: write at least three characters --> select a Selection --> Save
Fields tab: connect Lyyti standard questions to fields under SuperOffice's Contact object
- SuperOffice Field: list of fields under the connected SuperOffice environment's Contact object (the ones marked with '*' are mandatory)
- Update: tick this checkbox field-by-field, when you want the integration to overwrite the connected field in SuperOffice for an existing Contact with the participant's answer given in Lyyti event to the connected standard question. NOTE: existing email addresses and phone numbers in SuperOffice are not overwritten, but new ones are added for the contact if these fields are set to update (checkbox is ticked)
- Lyyti Field: select a standard question to be mapped to a SuperOffice Field
-
Default: if a participant doesn't provide an answer to the connected standard question, or the question is hidden on Lyyti's registration page, you can define a default value that is set for the connected SuperOffice field for each Contact/Company
-
Name: if "Create a new company when creating a new contact" checkbox is ticked on the Settings page, this field mapping section appears on the Fields page. By default, the company name will be the Lyyti company name that owns the event, but by mapping this field to a Lyyti standard question, the Company name for new Contacts will use the answer given to the mapped question in Lyyti events
NOTE! The integration does not connect companies created from Lyyti to existing companies in SuperOffice, which means that a duplicate company will be created even if a company with the exact same name already exist in SuperOffice.
Connecting an event to SuperOffice
Once you've set everything up, it's time to connect the event to SuperOffice.
- Navigate to "Event information" under "Event" on the left hand side menu in your Lyyti event
- Tick the checkbox for "Export to SuperOffice"
- A new Project will be created in SuperOffice, which is connected to your Lyyti event. Participants will be exported to this newly created Project based on the company's SuperOffice integration settings.
Importing a Selection from SuperOffice to a Lyyti event
You can import participants from a selection to an event in Lyyti. The feature is found on the Participants page within each Lyyti event.
NOTE 1: Importing from a selection is possible only if you've first ticked the "Export to SuperOffice" checkbox in your event
NOTE 2: The import will skip all Selection members who haven't given consent to e-marketing in SuperOffice.
- Navigate to the Participants page in a Lyyti event
- Click on "Add participants" and select "Add from SuperOffice"
- First, search SuperOffice selections (minimum of three characters are required for the search to function)
- Second, select the Selection from the drop-down menu below and click on "Import participants"
- Lyyti will show an informative pop-up of the results of your import:
1. Total in selection: how many members there are in total in the selection
2. Imported: how many members were imported as participants in Lyyti
3. Skipped (no consent): how many members were skipped because they haven't given e-marketing consent in SuperOffice
4. How many members were skipped, because they already exist as participants in the Lyyti event (based on email address)
- Navigate back to the Participants page, and you'll see a list of newly created participants
Once the statuses of imported participants change in Lyyti, the statuses will also be updated in SuperOffice for corresponding Project members. If a participant registers via an open registration link, the integration will create a new Contact/Company to SuperOffice according to the integration settings in Lyyti.
NOTE! New contacts that are created via this integration will have e-marketing consent on automatically in SuperOffice.
