With the Salesforce integration, you can bring the participant information that Lyyti has created automatically to Salesforce. You can create new leads and update existing leads and contacts.
Lyyti events should match to corresponding Salesforce campaigns and participants are added as campaign members, which are related to either leads or contacts.
To activate the Salesforce integration you need to have sufficient rights (Salesforce Professional with API interface as an added service or Enterprise license).
You activate the integration by logging in to Salesforce from Lyyti with chosen Salesforce account. If possible, use a separate integration user account for the management of the integration. This way, the rights and settings are always up to date and following possible changes is easier.
You can always first create the integration to Salesforce Sandbox test environment and when everything is in order move the integration to the live account. Maybe try first with only one event.
Activating the integration
I order to activate the integraation you need Main user rights in Lyyti. Settings can be found from the main menu under Admin section Settings--> Salesforce.
1) Activate the integration: If your organisation uses some other login address than https://login.salesforce.com (e.g. https://organisation.salesforce.com), click Customise authentication address. Then activate the integration by logging in with the chosen Salesforce account. The activation works according to Salesforce logic, so if you need to change the Salesforce password every 30 days you also need to update the activation in Lyyti every 30 days.
2) Settings:
On the Settings tab you map Lyyti participant statuses with the correct Salesforce campaign member statuses, and choose what statuses the integration uses.
Export participants: Choose what statuses the participants can have to be exported from Lyyti to Salesforce. Then choose which campaign member status corresponds to which Lyyti status. The dropdown always shows all the statuses defined in Salesforce.
Tip! Create a Salesforce campaign template where you create the statuses and always copy this template using the clone with related button. This way you don't have to create the statuses from scratch every time to a new campaign.
Manage participants: In this section you define how the participant information from Lyyti is managed in Salesforce. By default, we recommend to tick the selection Create new registrations from Lyyti in Salesforce so that Lyyti participant list matches the campaign member list in Salesforce.
By default we also recommend to create new records as leads, since leads usually have less mandatory fields, validation rules and lookup fields.
When you are using the open registration link and you want to recognise existing leads and contacts choose Link participants to existing contact or lead. The participants are primarily recognised from their email address and secondarily through their name.
Update object with Lyyti participant information: Choose this option if you want to update existing leads and contact with the information they give in the Lyyti registration page. The function can for example help you keep your customer register up to date. You can choose one by one what information is actually updated.
3) Fields:
On Fields tab you define which fields in Lyyti and Salesforce match each other and what information is exported from Lyyti to Salesforce.
In the first column are the Salesforce fields (Lead, Contact and Campaign Member). In the second column you have Lyyti's standard questions and participant’s report fields. The information from these fields can be imported to Salesforce. You can also update the latest data from Lyyti to Salesforce if needed.
You can also define a default setting for each field. This is a good idea when you want a specific information to be imported to Salesforce but you don't need to show the field to the participants in Lyyti's registration page, especially if some specific fields in Salesforce are mandatory.
You should also take some time to carefully think through the mandatory fields. If a field is mandatory in Salesforce but not in Lyyti, you shouldn't choose the information to be exported to Salesforce because if participants are missing that mandatory information they will not be imported to Salesforce. If possible it's best to keep the same fields mandatory in both Salesforce and Lyyti.
4) Notifications
On Notifications tab you are shown such participants that couldn't be exported to Salesforce for some reason. Most common reason is that the participant is missing some mandatory information.
