Events bring people together to learn something new, meet new people, or catch up with old friends. Because of this, events play a vital role in creating meaningful encounters. However, traveling also has a significant environmental impact. We highly recommend tracking this impact, especially for physical and hybrid events where participants must physically commute to attend. While some attendees might live nearby and use public transportation, others may be traveling from longer distances or even from abroad.
Creating a Travel Survey for Participants
A great way to gather data on how participants traveled to your event is by creating a survey in Lyyti. This can be sent to participants after the event, either combined with an Experience Value Score (EVS) survey or as a separate email message.
The survey can include questions such as:
-
How did you travel to the event?
- My own car (Follow-up: How many kilometers? What type of car: diesel, petrol, hybrid, electric, etc.?)
- Public transportation
- Walking or cycling
- By plane
- Taxi (Follow-up: How many people shared the taxi? What was the distance?)
-
How did you get home from the event?
- (Repeat the relevant choices above)
Using Conditional Logic for Follow-Up Questions
To keep the survey clean, you can use Conditions - add condition to question to display follow-up questions. For example, if a participant selects "Public transportation", the next questions could ask which type of transportation they used and the distance in kilometers. Alternatively, as shown in the example below, selecting "My own car" will automatically reveal questions about the car type and total distance. The depth of these follow-up questions depends entirely on how accurate you want your data to be.
Sending the Survey
Once your survey is ready, you can send it directly to the participants from the main event page: Sending survey link to respondents.
As an organizer, you can choose whether to link the survey to the event using a personal survey link, or to send an open link instead. For more details on these options, see: Answering the survey anonymously vs. a personal link
Calculating and Minimising the Environmental Impact
The gathered data can then be used to calculate the environmental footprint of your event. To export this data, create a survey report that can be downloaded into Excel: Survey reports.
A great way to minimise your event's environmental impact from the start is to select a venue that is easily accessible by public transportation, and to provide clear travel recommendations to participants before the event date.
