Week 34: Event templates, calendar notes
This week's product update features the event template function, allowing users to save their events as templates that can be used for future events instead of starting from scratch, saving time for the event manager. What's more, calendar notes are now supported in Next Gen events and they are more customisable than ever.
When you want to save your event as a template for future usage, go to the general settings of your event and click the Save the event as template button. Then you can give your template a name and description, so that you and other users know what kind of events this template is meant for.
Admin users have a section in the organisation settings called Template management, where they can see all their event templates and delete them if needed through the cogwheel icon. When creating a new event, users with access to the template can now choose the correct template.
Event organisers can now turn on the calendar note in the advanced settings, allowing participants to save the event in their calendars, decreasing no-show rate. The contents of the calendar note may be edited freely, and you can preview how the calendar note would look like in different calendar applications.
Week 31: Improved message scheduling
It is now easier to choose an exact sending time for your email through Event or Participant milestone scheduling. Simply click the "Select sending time" button and choose the desired sending time through the pop up. In the example below, the message will be sent two days, four hours and 10 minutes before the event start time.
Week 29: Test sending with a fictional participant
Test sending an email is highly recommended before sending anything to your participants. This is to ensure everything is as you want it to be.
This week, we are giving you more options to your tests with a fictional participant.
Now, when doing a test sending, you'll have the option to choose a participant from your list or to make a fictional participant. The email test would display that participant's or fictional participant's data through personalisation codes.
In the example below, the email uses the personalisation codes for "first name", "company" and "your office". So you can personalise those answers for your fictional participant.
Bonus part: if you create a fictional participant, you can save it to use it in your next test send. No need to remake it every time!
Week 28: Registration preview, timezones, EVS list
This week introduces a "preview" function (1) to the registration page. You can now view the page even if your event is in draft status and/or registrations are not open. This is a great tool to help you check the registration page as you build it.
You have another similar feature "view as a participant" (2). This features allows you to see the registration page as if you were a participant. Which means if registrations are not opened or your event is not published, you will see the same error that the participants will see. This is a great feature to ensure everything is ready before sending your invitations.
Speaking of viewing the registration page, you can now decide whether your participants should see the timezone of the event. You can toggle this feature under Your Event / Settings.
We also have an update regarding Pulse EVS, you can now freely choose the language of the EVS question your participants will receive when you create the Pulse :
And lastly regarding EVS, all EVS (from events and Pulse) can be found in the newly renamed EVS section in the main menu on top of the screen.
This section was previously named "Survey" and the menu still included pages from Lyyti Classic. They have now been removed and only Next Gen related pages are now in the menu.
Week 21: UI changes, new features
This week introduces UI changes and a handful of new features, such as creating individual "Pulse EVS" surveys and sending test emails.
- The user interface has been tweaked to improve usability and clarify to the user that they are using Lyyti Next Gen instead of Lyyti Classic. The logo on the top left now says Lyyti Next Gen, the button to move back to Lyyti Classic states "Exit Next Gen beta" and there's even a popup window telling the user what they can and cannot do with Next Gen compared to Classic, when they click the "Create event" button.
- There's a new way of creating and sending EVS surveys called Pulse EVS, that you can find on the Lyyti mobile app and on desktop in Lyyti Next Gen -> Surveys -> EVS list -> Create Pulse EVS.
- Pulse EVS is an individual EVS survey not connected to any event. You can send the survey easily to your audience by using the QR code available in the mobile App, or by copying the answer link of the survey and sending it to your audience via email.
- It's now possible to send test emails in Lyyti Next Gen. You can even send the test email to multiple recipients at a time!
- There are two new views for admin users in the company settings behind the cogwheel on the top right: Users and folders.
- In the Folders page you can create new event folders.
- In the Users page all the company's users are listed and the admin can edit their user role and access to event folders.
Week 20: Event capacity
This week's update introduces the possibility to add a maximum capacity to events.
- In an event's general settings, you can now set a maximum number of participants that can register to the event. At this stage, the seats are always reserved when a person confirms their registration. In the future it will also be possible to set the seats to be reserved immediately once a participant arrives on the registration page.
- There is a chip in the General settings and Participants page showing how many seats are currently reserved.
- If the maximum capacity has been reached and you open the registration page, there will be a notification text stating that the event is full.
Week 19: Time zones
This weeks update brings forth time zone settings as a new feature.
- In the organisation's settings, admin users can now set a default time zone for their company's events.
- The time zone of an event can be changed in the Basic details section of the event's general settings.
Week 15: Pre-made questions
This week's update introduces two notable improvements: Company specific pre-made questions and email personalisation.
- The admin user can now create different types of pre-made questions for the organisation. To do this, click the cogwheel icon on the top right and select 'Pre-made questions'. Then click the button to create a question, select the type of the question, add the question text, possible answer alternatives and choose if the question is mandatory, sensitive or editable.
- Once the question has been created, they can be activated in all events created by the company's users. The company's pre-made questions are shown in their own section above the pre-made questions provided by Lyyti, when adding a new question to the registration page.
- There are also new icons for different question types reflecting the quality of the question.
- Personalisation links and texts can now be added to emails in the same way as in Lyyti Classic.
Week 11: Registration page improvements
The newest update introduces a couple of improvements to the registration page.
- When editing a pre-made question, there's a chip stating which pre-made question the question is, so you always know it even after changing the question text.
- The delete buttons for answer options for multiple selection questions are now found behind the cogwheel icon next to the answer option.
- The header and Save button are now sticky, so they will always stay on top of the page even when scrolling down.
Week 9: Improved recipient selection
This week's product update brings forth improvements to recipient selection when sending a message in your event.
- Apart from adding recipients through filtering, now you can also select individual recipients for your message. Just tick the boxes for those participants you want to sent the message to and click the button "Add selected recipients". The number in the button shows the number of selected recipients.
- After adding the selected recipients, the Recipients field will show you the number of the recipients:
Week 7: Message sender and reply-to information
This week's update introduces the possibility to set the sender and reply-to information of individual emails.
- By clicking the "From" field when editing an email, you can set the sender's name, sender address, reply-to name and reply-to address for individual emails. Setting a custom sender address requires that you have verified the domain you wish to use.
Week 5: Privacy policies, recipient filtering
This week's product update introduces the first iteration of privacy policies, along with an improved view when filtering recipients for an email.
- There is now a page in organisation's settings to create and manage privacy policies. At this stage, the privacy policy can only be added as a link to a website, but more options will follow later.
- The privacy policy is selected in the general settings of an event. If the organisation only has one privacy policy created, that one will be pre-selected.
- When selecting message recipients, the participants matching the applied filter are shown on the right hand side of the screen.
Week 4: New 404 page
This week's update introduces some technical fixes not directly visible to a user along with a new 404 page.
- A new 404 error page is now shown instead of a blank error page if the page a user is looking for cannot be found. Several other designs for "empty state" pages are being developed (such as the privacy policy page when no privacy policies have been created), but this is the first one to be published:
- Some key features currently in development: Privacy policies, event folders and user roles, setting time zones for events.
Week 3: Participant statuses, branding
This week's product update brings forth improvements to participant statuses and branding.
- New icons have been added to all the participant statuses on the participant page.
- The participant status "Invited" has been removed, and the status "Show" renamed to "Attending".
- The smiley icons in the EVS mail are shown in the primary colour of the brand used in the event.
- In organisations with a company structure, domains verified by the top company will be available for sub companies as well.
Week 51: Verified domains
Just a few improvements are put to production this week, but plenty of useful features are being designed.
- Domains verified in Lyyti Classic can soon be used to send emails in Lyyti Next Gen. The default email sender can be set in the Advanced settings of an event.
- If an organization uses SMTP relay to send messages from Lyyti, messages sent from Next Gen are now also sent through the SMTP relay.
- A few examples of features to be implemented soon: Better accessibility through UI changes, ability to set user roles and create event folders.
Week 50: Organisation settings, registration links
This week's update brings forth changes to the registration links and other improvements.
- Only admin users can access the company settings through the cogwheel icon on the top right corner from now on.
- The personal registration and edit links work differently depending on the recipient's status. If their status is Added, the links lead the recipient to the registration page. If the status is Registered, the links lead the recipient to an edit page that has all the recipient's answers prefilled. A participant can cancel their registration only through the personal cancellation link.
If the recipient's status is Added, the page looks like this:
If the status is Registered, the page looks like this:
- The open registration link is now found in an event's general settings and behind the chain icon on the right side of the top bar.
- Soon users will be able to send emails from domains they have already verified in Lyyti Classic. At the moment, all emails sent from NG are sent from the domain user.lyyti.com.
Week 48: Localisation & language improvements
The newest product focuses on language improvements.
- Two new languages have been introduced to Next Gen: Dutch and German. A user can both use the system in these languages and select them as the event language.
- The language you are using Lyyti with now follows to Next Gen, so if your Classic Lyyti is in Finnish, Next Gen will open in Finnish, too! This doesn't work other way around yet, though, so if you change the language in Next Gen and go back to Classic, the language will not update.
- The process for replicating user rights from Classic to Next Gen has started. Previously all users have been admin users in Next Gen, but the user roles will soon be updated to Next Gen, so that only admin users have access to admin user features.
Week 47: Organisation settings, participant import
This week's product update introduces bugfixes and general improvements.
- There's now a cogwheel icon leading to company settings (currently only brands) on the upper right corner. The quill icon has been transferred to the menu on the left to signify brand settings.
- When importing participants, Lyyti informs which columns are mapped and will thus be imported. If a column is left unmapped, it will not be imported.
- When adding an online link in the general settings, Lyyti now automatically adds "https://" before the link. Additionally, if the link is not a valid url address, the user is informed about it by the system.
Week 46: Next Gen available for all users
The Lyyti Next Gen has now been published to all Lyyti users, and can be accessed through the "Next Gen Events" button on the front page of Lyyti. Several product updates have also been published
- Feedback and customer support: There's a "Give feedback" button leading to a feedback form about Next Gen on the top right corner. The contact information of Lyyti's customer support can be found behind the Support button on the bottom right corner.
- Company structure has been implemented for those companies that have it in use, and it's accessible by clicking the company name on the top right corner.
- Improvements to participant import: The number of participants to be imported is now shown on the page. You can also choose to omit the first row of the Excel file if it includes headers. Imported participants are now visible without having to refresh the page.
- Up to 50 questions can now be added do the registration page, the previous limit was ten questions.
Week 45: Branding, registration time
The newest product update introduces improvements to various things in an event, such as choosing the brand, and setting start and end times for registrations.
- In the brand settings, you can now preview how the event's registration page would look like with different brands. A second brand will be published soon, so stay tuned!
- Headings in the overview page can be clicked, and clicking a header now takes the user to the correct page (e.g. clicking "Communication" takes the user to the Communications page)
- The opening and closing time for registration can now be set in relation to publishing, start and end times of an event, in addition to set dates.
Week 44: Milestone scheduling
This week's update brings forth the possibility to schedule messages in relation to participant registration time, along with improvements to localisation and EVS.
- When scheduling a message, there's a new tab called "Participant milestone scheduling." In this tab, you can set e-mails to be sent either at or a certain time after a participant has registered to the event. This enables the organiser to create a confirmation message, which at this stage needs to be created manually.
- Question texts for standard questions on the registration page are now in correct language if you select a language other than English when creating the event.
- The EVS survey page now reflects the opening and closing times of the survey. If the event hasn't started yet, the survey isn't open either. When the answering time for the survey time has passed, the participant will be notified about this on the survey page.
Week 43: Event languages
The product update this week introduces event languages, some general improvements and bugfixes.
- Event language can now be selected in an event's general settings. Translations for Finnish, French and Swedish in the registration page are still in progress, so some information is still shown in English regardless of the event language.
- The Event visibility section has been added in an event's general settings. The button for publishing and unpublishing an event has been moved to this section.
- From now on you can't add two questions with the same name on the registration page. Currently a user will only be informed that something went wrong, but this will be improved later on.
Week 42: Branding
This week's product update focuses mainly on improvements to branding.
- The brand page now presents your existing brands as "cards", and you can access a brand's settings through the cogwheel icon. The brand settings include a field for brand name and a registration page preview.
- There's now a brand settings section in the settings page of an event. Brand colours are automatically visible in the messaging editor and in the EVS answering and We hear you pages.
- On the registration page, the View as participant and Save buttons are now floating on the top of the screen, so you don't have to scroll all the way up to save your changes.
