Add a calendar note for your participants to upload into their online calendar. This link can be added to the thank you-page, confirmation message and to e-mails sent from Lyyti. The information to the calendar note is imported from the Event information -page: Name, time and location of the event.
This article contains the following sections:Â
Calendar note in events
You can use Lyyti’s automatic calendar note in your events, which you can easily add to your event’s thank-you page, confirmation message, and emails. This allows participants to save the event to their personal calendars.
The calendar note is automatically generated based on the information you provide on the Event information page: event name, time, and location. It also includes a link to the participant’s personal confirmation message. For hybrid and online events, the calendar invitation also includes the participant’s personal link to the online event. It is also possible to edit the content of the calendar note.  When the participant uses that specific link to enter the online event their status will automatically change to > attending. Read more about online events here.
You can edit the calendar note on the thank-you page if you wish.
Editing a calendar note
If you want to add important information to the calendar note or other personalisations, you can edit the calendar note on the thank-you page. After editing, the updated version will also appear in the confirmation and email message, provided you have chosen to include the calendar note there as well.
To edit the calendar note do the following steps:
- Choose events and thank-you page on the left menu of the event
-
Go to the bottom of the page to the Calendar note text section. You can remove or add personalisations and text if you wish. To add personalisations, open "Personalise text. See here how to personalise texts.", copy the personalisation code you want, and paste it into the text editor where you'd like it to appear in the calendar note.
- Save
Adding a calendar note to the thank-you page
Add the calendar note to the thank-you page by checking the box Show "Save to calendar" button and saving the changes. The "Previous" and "Next" buttons will also save the changes you’ve made.
In the thank-you page message, it’s a good idea to mention the calendar note, which will appear to the participant right below the thank-you text:
Adding a calendar note to the confirmation message
The calendar note will be automatically included in new Lyyti events, and you can select whether or not you want to use it in the Confirmation section of your event -> Add calendar note to confirmation message: Yes.Â
When a participant enrols and they receive a confirmation message, it will include a link from which they can save the calendar note to their calendar.Â
Adding a calendar note to an email message
Click "Create e-mail" in Lyyti, write the actual e-mail and select Attach event's calendar note to message. The calendar link will be added to the e-mail.
Event websites and calendar note
You can also add calendar notes to an event website if you wish. The calendar note for the event website is created in the Agenda section of the event websites. Read more about how to create a calendar note for the event website here.
Calendar notes added to the event website are not connected in any way to the Event details page of the registration form. They are separate calendar notes that participants can save to their personal calendars directly from the event website. The calendar notes on the event websites cannot include any personifications.
A multi-day event and calendar notes
If the Lyyti event is a multi-day event where participants choose which day they will attend, it is not recommended to enable the calendar note in the event. This is because the calendar note dates are based on the time defined on the Event details page, meaning the participant’s calendar will be blocked for the entire time range set there — not just for the individual day they selected.
If you want to create separate calendar notes for a multi-day event, you can do so in two different ways:
- Create an event website for the multi-day event, and add the different dates and calendar notes to the Agenda section. Participants can then download the relevant calendar notes to their personal calendars if needed.
- You can also create calendar notes outside of Lyyti.
From this English article, you can find additional instructions on creating calendar notes for a multi-day event.
